How to save messages on PC and also keep them on the server

IMAP is fast, convenient and simple. You connect to IMAP server, retrieve new messages, reply back and then close your email client. You can also share same inbox, contacts and calendars with other computers such as laptop, iPad etc.


We're working hard to keep our servers 24/7/365. However, outages do occur. We've seen data loss due to: 1) account compromise; 2) client actions (deleted email folder by chance). In this case, all data will be lost. Once you connect to broken IMAP, you either see connectivity error or blank inbox!


We do recommend to use POP3 with option "Leave a copy of messages on the server". In this case, you'll download email messages via POP3 first. Copy of messages will remain on the server. You may also access email box from different locations. If something happen with email server, your messages will remain on your computer.


Please note: once you activate POP3, you will download all messages to PC. This process is very intensive and may take few hours. Please make sure that you have decent SSD or NVMe disk with free space.


How to connect to your server via secured POP3 (SSL)


1. Open Outlook;

2. Select "File > Account Settings > Account Settings;

3. Highlight your current POP3 account then click Change;


There you'll see incoming and outgoing email servers and also port numbers. We need to change them:


Incoming server: your_domain_here port 995


Example: nyhost.org port 995


Outgoing server: your_domain_here port 465


Example: nyhost.org port 465


Please don't forget to activate "Leave a copy of messages on the server" (see instructions below). Otherwise, emails will be deleted on the SERVER (once you download them).



How to activate "Leave a copy of messages on the server" with existing POP3 account in Outlook


1. Open Outlook;

2. Select "File > Account Settings > Account Settings;

3. Highlight your current POP3 account then click Change;

4. Select "More Settings" then click "Advanced"; 

5. Please check "Leave a copy of messages on the server" option.


How to go back to IMAP


Didn't like POP3? You can always convert your account to IMAP:


1. Open Outlook;

2. Select "File > Account Settings > Account Settings;

3. Highlight your current POP3 account then click Change;


There you'll see incoming and outgoing email server settings and also port numbers. We need to change them:


Incoming server: your_domain_here port 993


Example: nyhost.org port 993


Outgoing server: your_domain_here port 465


Example: nyhost.org port 465
